Student Organization Responsibilities for Meetings, Events, and Large Gatherings

A campus event is defined as an in-person gathering taking place on the San Marcos or Round Rock campus that is not part of an academic course. Campus events include indoor and outdoor gatherings, conferences, meetings, co-curricular and extra-curricular programs.

Safety Guidance for All Campus Events

All campus events hosted by registered student organizations, no matter the size and location, must adhere to university COVID safety guidance:

  • Adhere to attendance limits
  • Maintaining social distancing of at least six feet

Campus Event Request Process

Registered student organizations should follow established processes for reserving space indoors in the LBJ Student Center via Conference Services Event Management System.

Outdoor reservations should follow established processes for reserving outdoor spaces via Student Involvement's Event Management System.

Information for Off-Campus Events

Fraternity and sorority chapters must follow Fraternity and Sorority Life Office's process.

Members of registered student organizations are Texas residents and are responsible for following all local, city, and state laws.
