Event Attendance Tracking FAQs
Each event your student organization holds is required to track attendance. If you are reserving space on campus, your event will not be confirmed until an Event Attendance Tracking form has been submitted.

All registered student organization events, both on campus and off campus, require event attendance tracking.
No. At this time the University has restricted on campus events to current Texas State students, faculty and staff. This means in person guest speakers, vendors, etc are not permitted.
Once the form has been submitted and an event created, you will receive an email confirmation with information on how to access the event for check in. There are two methods of check in, QR code and netID or name search.
Please review your event check in before the event takes place.
Make sure you are a registered officer listed on your organization's registration. Only those listed in our system will have access to the Event Management System.
If you are an officer, try utilizing another browser, like Firefox.
If you continue to experience difficulty viewing your events, please send an email to firstname.lastname@example.org.
At this time, we are continuing to troubleshoot issues with the QR code. If yours is not showing up, we suggest trying a different browser.
If it continues to not work, please utilize the netID or name search function to check students in.
The Event Management System was not working and we could not use it to take attendance. What do we do?
If the Event Management System is down or not working for you, please take attendance via a sign in or spreadsheet, complete with student name and netID. You can submit this to us via our Event Attendance List Submission form
Our organization has recurring meetings (i.e chapter meetings, new member meetings, etc). Do we need to submit a new tracking form for each date?
If your event is recurring, you may submit one form for that event. Please mark that it is recurring on the form and let us know the beginning and end date. We will create a single event check in that is open until the end date specified on the form.
